In a work item, Â you can mention someone in the comment section to directly notify them about it. These notifications are sent as emails. You can configure these email notifications in the email settings section. Here is a guide on how to setup the @mentions notification.
Make sure to enter valid SMTP Details to successfully send email notifications. To know more about the SMTP Details section, see this documentation.
Setup Action Log Mentions Notification
Go to Admin Settings, expand Email Settings then select Action Log Mentions Notification.
Enable @ Mention Functionality - By default is enabled, if unchecked, it should disable the @mentions lookup in the action log.
Enable End User @ Mention Functionality -Â By default is enabled, if unchecked, it should disable the @mentions lookup in the action log for end users.
Disable Notification -Â Enable this setting if you do not want the mentioned user to receive any notification.
Send Notification as HTML -Â By default, unchecked, the mentioned users will receive notification in plain text. If enabled, any html tags embedded in the template or written in the comment will be displayed as HTML in your email.
Reply To - This setting configures the 'From' email address that will appear on your sent mentions notification emails.
You can select from the following:
- From Analyst - Analyst email will be used as the reply-to address. If Analyst email is null, then the Return email is set as the reply-to address.
- From Portal -Â The Return email set on this setting will be used as the reply-to address. If Return email is null, then the Support email ("[email protected]") is set as the reply-to address.
- From Analyst and CC Portal - Analyst email will be used as the reply-to address and will add CC to the Return email. If Analyst email is null, then the Return email is set as the reply-to address.
Notification Title - Here is where you set what properties to include in your email subject.Â

Notification Template - This template will serve as the email content when sending action log notifications.Â

Enable Group Filter - Enable this setting if you want to limit the users listed in the @mentions lookup.
Simply add the Group Name in the AD Group Filter List table.
Only users which belong to one of these groups will be available in the @mentions lookup.
Note: Leaving 'Enable Group Filter' checked and not adding groups to filter by will prevent @mentions from pulling any users.
