User Guide: Asset Management Lists

Overview

As part of the Cireson Asset Management solution, several lists are added to SCSM to populate drop down values of the asset CI’s. Like all lists in SCSM, the Cireson Asset Management lists can be found in the Library workspace under the Lists node. 

Like any other list within SCSM, administrators are able to edit the contents of the list if required. If a list item is used by a template then the item will not be able to be deleted from the list, however it can be renamed. 

Note: For organizations just getting started with the Cireson Asset Management solution, Cireson provides a management pack (Cireson.AssetManagement.EnumerationsDefaultValues.xml) containing Cireson's recommended starting values for these drop down lists. The management pack can be downloaded by clicking HERE (Right-click > Save As).

Editing Lists

When first editing a list, SCSM will prompt the administrator for a management pack to save the edits to. It is best practice to store asset management details in a custom management pack that is created using a naming convention specific to the organization. This will allow values to be restored in the event of disaster recovery but it will also allow simple migration from dev to test to production environments. 

Cireson Best Practice: Cireson recommends a minimum of 3 custom management packs for Asset Management. These three management packs should be separated in to: 

  • Asset Management Import Connectors
  • Software Metering Import Connector
  • Asset Management List, Views and templates 

To quickly find lists associated with asset management, filter the lists view with the criteria of “asset” 

List of Lists

Catalog Item ManufacturerThis list contains names of hardware manufacturers that can appear on related catalog item CIs. This list is used specifically for the catalog item CI.

Catalog Item ModelThis list contains specific model names and numbers of individual hardware models that can appear on related catalog item CIs.

Catalog Item StatusThis list contains a descriptive status for related catalog item CIs. This can be used to identify if a catalog item is currently available, planned, obsolete, inactive etc.

Consumable Manufacturer This list contains names of hardware manufacturers that can appear on related consumable item CIs. This list is used specifically for the consumable CI.

Consumable ModelThis list contains specific model names and numbers that can appear on related consumable item CIs. This list is used specifically for the consumable CI.

Consumable TypeThis list contains a descriptive name for the type of item for the related consumable. This can be used to identify the general type of consumable that the item is. Such as Headset, mouse, keyboard, cable, toner, battery, transport case etc.

Currency The currency list contains the three-digit currency codes that may be used within the Cireson Asset Management solution. 

Note: While it is possible to enter any value in to this list, it is recommended to use ISO 4217 standard for currency codes. The purpose of ISO 4217:2008 is to establish internationally recognized codes for the representation of currencies. For more information, visit: http://www.iso.org/iso/home/standards/currency_codes.htm 
It is recommended to only include the currency code of the currencies that are valid for the specific organization. Including all currency codes introduces unnecessary complexity and values to select from. 

Data Plan Type - This list contains a descriptive name for the type of item for the related data plan for use with mobile Hardware Assets.

Hardware Asset Status - This list contains a descriptive status for related Hardware Asset CIs. This can be used to identify if a Hardware Asset is deployed, disposed, on loan etc.

Hardware Asset TypeThe Hardware Asset Type list contains a descriptive name for the type of item for the related hardware asset. For example, when the hardware asset import workflow runs and a new computer is found via the Configuration Manager Connector, the asset type is defaulted to Computer from this list. 

Note: Do not change or delete values from the Hardware Asset Type list. Several workflows, including the Asset Import workflow, use the default values to classify hardware as it is imported. Changing or deleting Hardware Asset Type list values can make the workflow produce undesired results. 

Invoice Status - This list contains a descriptive status for related Invoice CIs. This can be used to identify if an Invoice is currently being processed, has been completed or rejected etc.

Line Item Type (was Purchase Type) - This list contains a descriptive type for related Line Item CIs. This can be used to identify what type of item the Line Item was. For example, consumable, peripheral, capital item etc.

Notice Event - Type This list contains a descriptive name for the type of Notice Event for related Notice Event CIs. This can be used to identify the type of Notice Event and can be leveraged by workflows processes.

Purchase Order StatusThis list contains a descriptive status for related Purchase Order CIs. This can be used to identify if a Purchase Order is currently in planning, ordered, shipped, completed etc.

Purchase Order TypeThis list contains a descriptive type for related Purchase Order CIs. This can be used to identify if a Purchase Order is currently a special PO for a given project, Capital expense, Operational expense etc.

Service Provider - This list contains names of Service Providers that can appear on Mobile Hardware Assets. This list is used specifically for the consumable CI.

Service Status - This list contains a descriptive status for the related Service for Mobile Hardware Assets. This can be used to identify if a Mobile Hardware Asset is currently in Active, Inactive, Pending etc.

Service Type - This list contains types of Services that may be issued by the Service Provider, such as Prepaid or Postpaid Mobile Contracts

Software Asset StatusThis list contains a descriptive status for the related Software Asset CIs. This can be used to identify if a Software Asset is currently in In Planning, Deployed, Retired, Superseded, etc.

Software Asset TypeThis list contains types of Software Assets that may be found in the organization. 

Standard TypeThis list contains type of Standards that may be created or used within the organization.
